How Far in Advance Should You Reserve Tables and Chairs for a Party?
You know the date.
The guest list is starting to come together.
And somewhere between figuring out the food and wondering where you're going to put everybody, you realize:
We probably need to rent some tables and chairs.
So, how far ahead should you reserve them?
The short answer is: as soon as you know enough about your party to have a reasonable idea of what you'll need.
You don't have to have every detail figured out.
Start With Three Things
Before contacting a rental company, it's helpful to know:
1. Your event date
2. Where you're having it
3. Approximately how many people you're expecting
That's enough to get the conversation started.
Your guest count doesn't have to be exact. If you're expecting somewhere around 40 people, you don't need to wait until you've tracked down RSVPs from all 40 before thinking about tables and chairs.
Some Dates Fill Up Faster Than Others
A casual backyard gathering on an ordinary weekend is different from planning an event during a busy graduation or holiday weekend.
The more important the date is to your plans, the better it is to reserve early.
This is especially true for:
Weddings
Graduation parties
Holiday gatherings
Larger birthdays and anniversary celebrations
Community events
Events requiring larger quantities of tables and chairs
Waiting until the last minute doesn't necessarily mean rentals won't be available. It simply means you'll have fewer options if inventory has already been reserved.
What About a Small Backyard Party?
For smaller gatherings, you may have more flexibility.
Maybe you've got family coming into town and suddenly realize the six chairs around your dining table aren't going to work for 25 people.

What If I Don't Know Exactly How Many Tables I Need?

We don't expect you to be a table-and-chair expert.
Tell us approximately how many people you're expecting and what kind of gathering you're planning.
Are people sitting down for a meal?
Is it more casual, with guests coming and going?
Do you need tables for food, drinks, gifts or desserts in addition to guest seating?
Those details help us think through what might make sense.
